Introduction
When using a new device (e.g. PC, laptop or tablet) to access the EASY system from outside of your organisation's/employer's trusted network, you will be asked to authorise the device. This is an additional security measure that also allows to tell EASY if you will be using the device on this one occasion, such as a library computer.
The Device Being Used
Before going any further you need to answer this question: Is the device you are using shared with anyone else? If the answer is Yes, then you should treat it as a public/shared device, and go to the Public Device section below.
Where you answered No to the question above, then the device is most likely a laptop or tablet issued to you by your organisation/employer or your own personal device. In that case, you should go to the Your Device section below.
Public Device
When using a device that is shared with someone else you should tick the box indicated in the screenshot below. That will tell EASY that you are only authorising the device for this login session. Should you happen to use the same device again, you should still treat it as a public/shared device and authorise the device just for that login session.
Now go to the Authorise this Device section
Your Device
As the device you are using is for your use only, it can be regarded as a trusted device, and there is no need to tick the Public Device box. By not ticking the box that tells EASY that this is a trusted device and, if permitted by your organisation/employer, you won't be asked to verify this device next time you log into EASY. All you have to do now is Authorise this Device.
Authorise this Device
After following the instructions above for a public device or your device, you should now click on the
button. You will now be asked authorise access from the new device by completing an authentication check using one of the methods below. You will already have set up the authentication method being requested with the EASY system.Just skip to the section that is appropriate for the type of authentication you are being asked to provide. You will see the authentication method requested in the area indicated in the image below.
Security Word
You will see the following panel where you are required to provide 3 characters from your security/memorable word. Enter the characters requested in the appropriate fields, and then click on the
button.Authenticator App
Open your authenticator app and select the option that relates to your EASY user account. Enter the code that is showing on your authenticator app in the Code field, and then click on the
button.PIN
Enter your PIN (Personal Identification Number) in the PIN field, and then click on the
button.Where your Organisation/Employer has enabled the facility to send an authentication code in an email, you will receive an email similar to the one below with the authentication code (one time password) that you need.
Enter the authentication code in the email that you receive into the Code field shown in EASY, and then click on the button.
SMS
Where your Organisation/Employer has enabled the facility to send an authentication code in a text (SMS) message to your mobile phone, you will receive a text (SMS) message similar to the one shown in the image below with the authentication code (one time password) that you need.
Enter the authentication code in the email that you receive into the Code field shown in EASY, and then click on the
button.Device Authorisation Confirmed
On clicking the
button you will be taken to the Home page in the EASY system. You will also receive an email (similar to the one below) confirming that access from a new device was authorised.
