From time to time the EASY Expenses System may not be able to locate a postcode, particularly with new housing developments. Without a point of reference the system is unable to calculate the journey mileage and you are prevented from making the mileage claim. Fortunately there is a facility in EASY that can help in that situation. It involves getting the latitude and longitude for the location of the postcode, and sending these details to your local system administrator.
The easiest way to do this is to use the Google or Apple Maps app on your smartphone by following the steps below.
Google Maps
Mobile Device
- Your current location should show as a blue dot on the map, otherwise drop a pin on the map to give your location.
- Press and hold on the blue dot or pin until you get the Dropprd Pin section.
- Tap on the share icon
- Choose email. The email will contain a link that when selected will show your location with the latitude and longitude co-ordinates
- Add the postcode and short message to the email, and send it to your local EASY system administrator
PC or Laptop
- Your current location should show as a pin on the map to give your location.
- Right mouse click on the pin, and then select What's Here from the menu
- Click on the co-ordinate that appear in small panel that appears.
- Click on the share icon in the panel on the left
- Copy the link in the field
- Send an email to your EASY system administrator with the link, the postcode and a short message explaining the situation.
Apple Maps
- Your current location should show as a blue dot on the map, otherwise drop a pin on the map to give your location.
- Tap on the blue dot or pin.
- A short description of the location will be displayed at the bottom of the screen. Move the description up the screen to reveal the latitude and longitude, and then take a screenshot as follows:
- Press and hold the Sleep/Wake button on the top or side of your device
- Immediately press and release the Home button
- Find the screenshot by going to the Photos app. Select the photo and tap on theicon to email. If you don't see the icon you may see theicon instead. By tapping on theicon, you should then see theicon.
- In the email, add the postcode and a short message, and send it to your local EASY system administrator.
