The easiest solution is to use the information in the User Audit report to help you create the files that you will need to run the batch processes available in the Admin > Batch Processes > Users menu to upload and remove user access.  Here are the steps involved:

  1. To identify the existing user activities of Users A and B, run the User Audit report in the Admin > Users > Reports menu.  This will give you the user activities for all users in EASY, but you can use the filter facility in Excel to find the specific user.
  2. Apply a filter on the User Audit report to get the user activities for User A to help us create the bulk upload file.  The EASY Online Help page Bulk Access Upload gives more detailed information on the upload process, but importantly it has a link to an EASY Bulk Access Upload file template.
    Copy the contents of cells in the User Access report from the first entry in the Activity column to the last entry in the Limitation column, and paste them into corresponding area of the Bulk Access Upload file template.  Then add the username, employee number and email address for User B to the relevant columns in the Bulk Access Upload file template - remember to ensure these details appear to all the activities that were pasted into the file.  The Bulk Access Upload file can now be saved and uploaded to EASY.
  3. Now filter the User Audit report to get the user activities for User B to use in creating the bulk access remove file.  The EASY Online Help page Bulk Remove Access gives more detailed information on the access removal process, this has a link to an EASY Bulk Access Remove file template.

    Copy the contents of cells in the User Access report from the first entry in the Activity column to the last entry in the Limitation column, and paste them into corresponding area of the Bulk Access Remove file template.  Then add the username for User B to the relevant column in the Bulk Access Remove file template - remember to ensure these details appear to all the activities that were pasted into the file.  The Bulk Access Remove file can now be saved and processed in EASY.

  4. To process the files in EASY, select the Access Upload or Remove Access, as appropriate, from the Admin > Batch Processes > Users folder.


Note:  In the above scenario it is extremely important that the Access Upload is processed first.  If the Remove Access file is process first it will result in the user account being set to inactive.
