Introduction
After the pay period for timesheets has been closed, it is no longer possible to enter/amend the timesheet through the normal method. Instead you need to use the Hours Claims facility to enter/amend hours that relate to previous pay periods.
The article is aimed at managers, and support colleagues, who need to enter hours worked by their team members.
Steps to Follow
1. Click on the Management menu, and then select the Hours Claims Option option.
2. This will take you to the page where you will see the teams you have access to. Click on the heading of the team of the person you wish to enter hours for, and then select their assignment.
3. You will be taken to the Hours Claims overview page that shows where claims are within the data entry and approval processes. Click on the button within the Unsubmitted Claims section
4. We will now work through a few examples
Example 1
On Friday 7th July, Tracey worked a 12 hour night shift that started at 8pm, which was a rostered shift, that hadn't been entered on her timesheet for that month.
Firstly, the date needs to be entered in the Date field which can be done by clicking on the calendar icon
Now 12 hours needs to be entered in the Night field within the Enhancements area. Since the same enhanced rate is paid for working on a weekday and a Saturday, there is no need to split the hours over the two days.
Depending on the size of your screen, you may need to scroll to the right to see the Enhancements fields
Example 2
On Saturday 15th July, Tracey worked an extra day shift that wasn't entered on her timesheet.
Firstly, a new row needs to be added. This is done by scrolling to the far right of the page and clicking on the plus icon.
Once the new row has been added, scroll to the left and complete the date field.
As this was an extra shift the hours worked need to be added to the Add. Basic field. In addition, because the hours were worked on a Saturday, the Sat. field under the Enhancements area needs to be completed for the enhancement to be paid.
Example 3
On Sunday 30th July, 4 hours Sunday overtime were entered on her timesheet when it should have been 3 hours. So, 1 hour needs to be recovered.
Again a new row needs to be added by scrolling to the far right of the page and clicking on the plus icon.
Once the new row has been added, scroll to the left and complete the date field.
Now scroll to the right to the Overtime area, and enter -1 (minus one) in the Sun. hours field.
5. That was the final adjustment to be entered for this assignment, and they now need to be submitted for approval by clicking on the
button at the top right of the page.6. That will result in the Declaration panel appearing. Add a tick to the box to affirm the declaration, and then click on the Submit button.
Some organisations may require users to provide 3 characters from their security word, or a one time pass code, to complete the submission process.
7. This will result in an email being sent to the approver, and you will be taken to the Hours Claims overview page where the claims will show in the Submitted Claims section.
