The first step is to be able to open the EASY program. This may involve clicking on a link on your Trust's Intranet page or contacting your IT department to create an EASY icon on your computer's desktop similar to the one below.


                                                                                   

               

Log into EASY  

When you click on the Intranet link or double-click on the EASY icon, the EASY Log In screen (below) should be displayed.


                                                

                                                           



To Log into EASY you will need a Username and Password. These can be obtained through the following: 

  • Self Registration - Your organisation may allow you to access some of the Self Service functions available in the EASY system by registering yourself as a user of the system. How this works is that you submit your work email address to EASY, and if you are recognised by the system you will receive an email that contains a token (computer jargon for a special code) or a link that will create a system generated user account. See the section below for more details on Self Registration.  
  • EASY System Administrator - Your organisation will have an EASY System Administrator who manages the EASY user accounts and access to the different areas of the system. You will need to contact your local EASY System Administrator to find out what the procedure is to obtain a user account with the appropriate access rights. They will issue you with a Username and a temporary password to enable you to log into EASY. See the section Logging into EASY for the First Time below for more details. 


Self Registration:

To start the Self Registration process you click on the Register here link at the bottom of the EASY Log In screen (see above).  You then need to complete the following screens before you are allocated with the Username that you will use to log into EASY in future: 

  • User Registration - On this screen you should enter your work email address in the Email address field and click on the Submit     button or press the Enter key on your keyboard. The EASY system will now send an email to that email address that contains a token (special code) that you will need to complete the next screen. Once you have received the email:   
    • Use your mouse to highlight the token    
    • Right mouse click on the highlighted token    
    • Select Copy from the menu    
  • User Registration Confirm - On this screen you need to enter the token the Token field. You can either type the token in the field, or, if you have copied the token using the steps above, paste the token into the field as follows:   
    • Right-click on the Token field    
    • Select Paste from the menu 

  • Once the token is in the field, click on the Submit button or press the Enter key on your keyboard. 
  • Change your Password - involves you:   
    • Entering your temporary password in the Old Password field    
    • Entering a password of your choice in the New Password field    
    • Entering your new password in the Confirm Password field 


  • Once you have done that click on the Change my password button or press the Enter key on your keyboard.  
  • Create a Security Word - involves you:   
    • Entering a security word in the Security Word field. The system will normally ask you for 3 characters from your security word, which will act as your electronic signature within EASY. The security word must be between 6 and 20 characters in length, and must contain both letters and numbers, e.g. Hastings1066. It doesn't matter to the system if you use upper or lower case letters.    
    • Re-entering your security word in the Retype Security Word field    
    • Entering your password in the Password field. This is the new password that you entered on the previous screen. 


  • Once you have done that click on the Set Security Word button or press the Enter key on your keyboard. You will be sent an email by the system that contains the Username that you should use in conjunction with your password to log into EASY in future.



Log In to EASY for the First Time: 

When you have been issued with your Username and temporary Password, type them in the relevant field, and then click on the Log In button or press the Enter key on your keyboard. Please note that the username and password are case sensitive, and you must use upper and lower case characters, as appropriate. 

As this is the first time that you have logged into EASY you will be asked to: 

  • Change your Password - Involves you:
    • Entering your temporary password in the Old Password field    
    • Entering a password of your choice in the New Password field
    • Entering your new password in the Confirm Password field    
    • Once you have done that click on the Change my password button or press the Enter key on your keyboard.  
      • Create a Security Word - Involves you:
      • Entering a security word in the Security Word field. The system will normally ask you for 3 characters from your security word, which will act as your electronic signature within EASY. It doesn't matter to the system if you use upper or lower case letters.

Log into EASY in Future:   

After you have entered your log in details you will normally be presented with the EASY Home Page

There may be occasions when you are asked to create a security word or change your password, may be because you have forgotten them. If the problem is with your password, your EASY System Administrator will issue you with a temporary password to enable you to log into the system.
